Terms & Conditions

Welcome to the AQF B2B website. These Terms & Conditions govern the use of our website, inquiries, quotations, orders, payments, and supply of products by AQF / Anmol Quality Foods (“we”, “us”, “our”) to customers (“customer”, “buyer”, “you”).

By submitting an inquiry, placing an order, making a payment, or purchasing products through our B2B operations, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

1. Business-to-Business Transactions

AQF primarily supplies products to business customers, importers, distributors, retailers, food manufacturers, wholesalers, and other commercial buyers.

Product specifications, pricing, minimum order quantities, packaging, shipping terms, payment terms, delivery arrangements, and other commercial conditions may vary depending on the product, quantity, destination, season, and nature of the order.

All such terms should be confirmed with our sales team before an order is placed.

2. Product Information

We make reasonable efforts to ensure that product descriptions, specifications, photographs, packaging information, and other information provided on our website are accurate.

However, natural food ingredients such as spices, dehydrated vegetables, vegetable powders, herbs, and blends may have natural variations in colour, aroma, texture, moisture, and other characteristics depending on the crop, origin, season, storage conditions, and processing batch.

Where a customer requires specific product specifications, certifications, testing parameters, formulation, packaging, or other requirements, these must be clearly communicated and agreed upon in writing before the order is confirmed.

3. Orders and Order Confirmation

An inquiry, quotation, purchase request, or discussion does not automatically constitute a confirmed order.

An order shall be considered confirmed only after the relevant commercial terms have been agreed upon and the required order confirmation and/or payment requirements have been completed.

Customers are responsible for reviewing and confirming all applicable details before placing an order, including:

  • Product name and specification
  • Quantity
  • Price
  • Packaging requirements
  • Labelling requirements
  • Required certificates or documentation
  • Delivery destination
  • Shipping terms / Incoterms, where applicable
  • Payment terms
  • Expected dispatch and delivery arrangements
  • Import requirements applicable in the destination country
  • Any special quality, regulatory, or compliance requirements

For export orders, customers must clarify and confirm all applicable requirements before placing the order.

4. Customer Order and Payment Records

Customers should retain proper documentation relating to their orders and payments.

For any inquiry, order, payment confirmation, claim, refund request, or dispute, AQF may request supporting documentation, including:

  • Order confirmation or purchase order
  • Quotation or proforma invoice
  • Payment receipt or transaction confirmation
  • Bank/payment reference
  • Shipping or delivery documents
  • Relevant communication with our sales team

We reserve the right to request reasonable proof before investigating or processing an order-related claim.

5. Payment Terms

Payment terms will be communicated and agreed upon before order confirmation.

The customer is responsible for ensuring that payments are made according to the agreed payment terms and that all applicable bank charges, transaction charges, or other costs are understood before payment.

An order may not be processed, manufactured, packed, or dispatched until the applicable payment requirements have been satisfied.

For customized, private-label, specially manufactured, or made-to-order products, different payment conditions may apply and will be communicated by our sales team.

6. Shipping and Delivery

Delivery and shipment timelines provided by AQF are estimates unless a specific delivery commitment has been expressly agreed upon in writing.

Actual shipping and delivery times may be affected by circumstances outside our reasonable control, including:

  • Heavy rainfall or adverse weather
  • Flooding or other environmental conditions
  • Port congestion
  • Vessel or container availability
  • Customs clearance
  • Government or regulatory restrictions
  • Transportation delays
  • Holidays and seasonal closures
  • Force majeure events
  • Other circumstances affecting logistics or international transportation

Customers acknowledge that international shipments may experience delays for reasons outside AQF’s control.

7. Natural Food Products and Moisture

Our products include spices, dehydrated vegetables, vegetable powders, seasonings, herbs, and other food ingredients. These products can naturally be affected by environmental conditions, particularly humidity and moisture.

During transportation, storage, loading, unloading, or handling, exposure to high humidity, heavy rainfall, condensation, or other environmental conditions may affect the physical condition of packaging or products.

AQF takes reasonable measures to protect products during processing, packaging, and dispatch. However, environmental conditions during transportation and handling may be beyond our control.

Customers are responsible for ensuring appropriate storage conditions after delivery.

8. Export Orders and Import Requirements

For international/export orders, the customer is responsible for providing accurate destination-country requirements before confirming the order.

This may include requirements relating to:

  • Import permits
  • Product registration
  • Labelling
  • Packaging
  • Certificates
  • Food safety documentation
  • Customs requirements
  • Phytosanitary or other regulatory documentation
  • Country-specific standards
  • Maximum residue limits or other applicable requirements

The customer must communicate all such requirements to AQF before placing the order.

AQF will make reasonable efforts to provide documents and specifications that have been agreed as part of the order. However, the customer remains responsible for ensuring that the products and documentation are suitable for import into the destination country unless otherwise expressly agreed in writing.

9. Customized Products, Blends and NPD

For customized formulations, seasoning blends, private-label products, or New Product Development (NPD), specifications must be agreed upon before production.

Once production has commenced for a customer-specific or customized product, cancellation or modification may not be possible, or additional costs may apply.

Any applicable development, formulation, sampling, tooling, packaging, printing, or production charges will be communicated separately.

10. Product Claims and Complaints

Customers should inspect products and packaging upon receipt and notify AQF as soon as reasonably possible if they identify any apparent issue.

Any complaint should include sufficient information for us to investigate the matter, such as:

  • Order number
  • Product name
  • Batch/lot number
  • Quantity affected
  • Photographs or videos, where relevant
  • Description of the issue
  • Delivery/shipping details
  • Proof of purchase and payment, where requested

AQF may request samples, photographs, inspection reports, laboratory reports, or other reasonable evidence depending on the nature of the complaint.

Claims may be subject to investigation before any replacement, credit, refund, or other resolution is offered.

11. Customer Information and Privacy

AQF respects the privacy of its customers and business partners.

We do not sell, rent, or share buyer/customer details with third parties for marketing or commercial purposes.

Information provided by customers, including contact details, business information, order information, and communication, is handled for legitimate business purposes such as responding to inquiries, processing orders, arranging shipments, providing customer service, and fulfilling contractual or legal obligations.

Our sales team may contact customers regarding their inquiries, quotations, orders, payments, shipments, and other relevant business matters.

We do not permit unrelated third parties to use customer information for their own marketing purposes.

Where information must be provided to service providers involved in fulfilling an order or complying with legal requirements, such disclosure may occur only where reasonably necessary for the relevant business or legal purpose.

12. Communication with Customers

Our sales team is the primary point of contact for customer inquiries, quotations, orders, payments, and order-related communications.

Customers should communicate important order requirements and changes in writing so that the relevant details can be properly reviewed and recorded.

13. Website Content

The information provided on the AQF B2B website is intended for general business and informational purposes.

Also our current product images are illustration purpose only, becasue we deal with multiple varities of same product. 

We reserve the right to update product information, images, specifications, pricing, availability, packaging, and other website content without prior notice.

Website information does not override specific commercial terms agreed in writing between AQF and a customer.

14. Force Majeure

AQF shall not be considered responsible for delays or inability to perform its obligations where such delay or inability results from circumstances beyond our reasonable control.

Such circumstances may include natural disasters, extreme weather, heavy rainfall, flooding, fire, epidemics, government actions, strikes, transportation disruptions, port closures, supply-chain disruptions, shortages of raw materials, war, civil disturbance, or other unforeseen events.

Where such circumstances occur, AQF will make reasonable efforts to communicate with affected customers and determine an appropriate course of action.

15. Pricing and Availability

Prices, product availability, minimum order quantities, packaging options, and commercial terms may change depending on raw material availability, market conditions, quantity, destination, season, packaging requirements, and other factors.

A quotation is subject to the validity period stated in the quotation.

Final pricing and availability will be confirmed by our sales team before an order is accepted.

16. Changes or Cancellation of Orders

Any request to change or cancel an order must be submitted to AQF as soon as possible.

Once an order has entered procurement, production, packaging, printing, or dispatch, changes or cancellation may not be possible or may result in applicable costs.

For customized, private-label, or specially manufactured products, cancellation terms may differ and will be communicated before production.

17. Limitation of Responsibility

AQF will make reasonable efforts to supply products according to the specifications and commercial terms agreed with the customer.

However, AQF shall not be responsible for delays, losses, or issues arising from circumstances outside its reasonable control, including transportation delays, customs clearance, import restrictions, weather conditions, environmental conditions, or failure by the customer to provide accurate or complete information.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.

18. Acceptance of Terms

By submitting an order or making payment for an order, the customer confirms that they have reviewed and accepted the applicable product, commercial, payment, shipping, and delivery terms.

For export orders in particular, customers are responsible for clarifying and confirming all requirements with our sales team before placing the order.
